This policy explains what personal information we collect when you use our website or get in touch with us, why we collect it, how we look after it and the rights you have. We are the data controller for this information under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. ## Who we are Ecodetect Limited is a company registered in England and Wales with company number 15789472. If you have any questions about this policy or how we use your information, please email [info@ecodetect.co.uk](mailto:info@ecodetect.co.uk). ## Information we collect ### Information you give us - **Contact form:** your first and last name, email address, phone number (optional), company or organisation, sector and your message. - **Newsletter sign-up:** your first name, email address and, optionally, your company or organisation, together with a record of your consent to receive our newsletter. - **Emails and other correspondence:** anything you choose to share when you contact us directly. ### Information collected automatically When you visit our website we collect information about how you use it, such as the pages you view, how you arrived at the site, your browser and device type and an approximate location based on your IP address. We do this using cookies and similar technologies (see [Cookies](https://www.ecodetect.co.uk/privacy-policy#cookies) below). If you have submitted a form, this browsing activity may be linked to your contact record. ## How we use your information and our legal basis - **To respond to your enquiry** and discuss how we might work together. Legal basis: our legitimate interests in responding to enquiries, or taking steps at your request before entering into a contract. - **To send you our newsletter** and other updates you have asked for. Legal basis: your consent, which you can withdraw at any time using the unsubscribe link in every email or by contacting us. - **To manage our business relationships**, for example keeping a record of conversations with customers, partners and prospective customers. Legal basis: our legitimate interests in running and developing our business. - **To understand and improve our website and marketing**, for example seeing which pages are most useful. Legal basis: your consent, given through our cookie banner, where cookies are not strictly necessary. - **To meet our legal obligations** and to establish, exercise or defend legal claims. We do not sell your personal information, and we do not use it for automated decision-making that has legal or similarly significant effects on you. ## Who we share your information with We only share your information where necessary, with: - **HubSpot**, which hosts our website and provides the customer relationship management (CRM), forms and email tools we use. HubSpot acts as our data processor. Our HubSpot account stores data in its European Union data centres. - **Other service providers** who support our business, such as email, IT and professional advisers, under appropriate confidentiality and data protection terms. - **Authorities or regulators** where the law requires us to. Our website loads fonts from Google Fonts, which means your browser connects to Google and shares your IP address with it. If you follow links to LinkedIn or other external sites, their own privacy policies apply. ## International transfers Some of our service providers may process information outside the UK. Where this happens, we make sure appropriate safeguards are in place, such as the UK International Data Transfer Agreement or Addendum, or a UK adequacy decision. ## How long we keep your information - **Enquiries:** up to 2 years after our last contact with you, unless we go on to work together. - **Customer and supplier records:** for as long as the relationship continues and for up to 6 years afterwards, to meet legal and accounting requirements. - **Newsletter subscribers:** until you unsubscribe. We keep a minimal record of your unsubscribe so that we do not email you again. ## Your rights Under data protection law you have the right to: - ask for a copy of the personal information we hold about you; - ask us to correct information that is inaccurate or incomplete; - ask us to delete your information; - ask us to restrict how we use your information; - object to our use of your information where we rely on legitimate interests, and to direct marketing at any time; - ask for your information to be transferred to another organisation (data portability); - withdraw your consent at any time, where we rely on consent.
